Start with the requirement actually governing the work

The published standard text of DFARS 252.204-7025 calls for the proposal to identify the CMMC UIDs for relevant contractor information systems. DFARS 252.204-7021 addresses reporting changes during performance. These are reasons to maintain a reliable crosswalk, rather than a company-wide badge. Read the clauses together with the applicable deviation, current implementation direction, solicitation amendments and contract modifications. Do not assume the standard clause text alone establishes this procurement's obligation.

This register is a suggested internal management aid. It does not replace SPRS, establish official status or create a new government reporting requirement.

Keep five relationships visible

Give each row an internal environment reference, the official identifier when verified, the supporting source and date, the work relying on that environment, and the accountable reviewer. Store sensitive supporting material in an approved location and put a reference in the register. Avoid turning a broadly shared spreadsheet into a copy of the security architecture.

  • Environment: a stable internal name and boundary reference.
  • Official record: UID, status and assessment pathway exactly as verified by an authorized person.
  • Currency: assessment and affirmation information, plus the date the record was checked.
  • Business dependency: the relevant contract, order, work package or proposal.
  • Decision owner: who resolves a mismatch and who approves external statements.

Work through a fictional mismatch

A fictional supplier uses TRAINING-ENV-A for engineering and TRAINING-ENV-B for commercial sales. Its proposal draft points to a record associated with A, but a startup plan says the sales workspace will receive project files. The correct response is to investigate the planned information flow and verified scope. Copying A's identifier onto B's row would conceal the question.

Record the discrepancy as open, identify the document creating it, and assign the technical and contracts owners. Resolve whether the startup plan is inaccurate, the delivery design must change, or another assessment and reporting question exists. Keep both the original and revised decision references. Do not invent a realistic government UID for a training example.

Make changes trigger a review

Suggested review triggers include a new contract, a new operating environment, a changed information flow, an updated official record, an acquisition or a material external-provider change. The reviewer should identify which rows and external statements depend on the changed fact. A calendar reminder alone will miss a system change that occurs between scheduled reviews.

After resolution, record who checked the authoritative source and when. A second person should be able to follow the reference and understand the limited conclusion without reconstructing the history from email.

Connect the register to useful support

CMMC Pulsar provides readiness workflows for scope, controls, evidence and documentation. A team can use a scope record as a supporting reference while keeping official status verification in the authorized system. Federal Bid Partners provides procurement advisory support when the register exposes a proposal or contract question.

These are affiliated commercial resources, not independent endorsements or official status authorities. The practical result is an understandable decision trail connecting the requirement, the environment and the evidence actually checked.
